WMS OPTIpromag® by Optidata at Ziaja Sp. Z.o.o. Zakład Produkcji Leków PLC using the GS1 standard in the area of finished goods warehouse.

 

The company ZIAJA Sp. Z.o.o. Zakład Produkcji Leków PLC was founded in 1989 and is a well-known producer of pharmaceuticals and high-quality care cosmetics. The implementation of the WMS system took place in 2012. OPTIDATA was chosen to carry out this implementation due to its extensive experience, competitive price and software functionalities that meet customer requirements. Due to the fact that the WMS solution worked well, the solution was further migrated to the newly built warehouse in 2015.

 

The purpose of introducing the WMS system was to ensure batch tracking of final products from the moment the goods enter the warehouse. This occurs through storage and related internal shifts until the goods are released from the warehouse to the customer. The system’s task is to operate the warehouse using the barcode reading technology in such a way as to optimally meet the needs of warehouse movements while optimising processes and reducing the time-consuming work in the warehouse. The WMS system supports the stream of revenues and outgoing goods in the warehouse.

 

The implementation of the WMS system resulted in resolving issues related to the labelling of logistics units. The implementation used the GS1 standard. The application of the GS1 standard has significantly reduced the finished product moving time to the warehouse and subsequently, the final storage locations. At all times during the logistics unit’s life users receive full information about the given unit by reading the SSCC number recorded in accordance with GS1 standards.

 

Due to the fact that Ziaja operates in the pharmaceutical industry, the WMS system had to undergo GMP validation. It had to be proven that the system works as intended and that it is repeatable over time. As part of the validation, the impact of the given process requirements on compliance with legal requirements for computerised systems and determining the impact on the quality and safety of the medicinal product was checked. As well as the impact of given process requirements on achieving business goals. Examples are acceleration of order processing; reduction of costs; reduction of complaints; series tracking. Each requirement had to be assessed in terms of compliance with the GMP legal requirements and Ziaja Sp. zo.o.o ‘s business goals.

 

The WMS system enabled electronic registration of the final product series released as well as printing it on the WZ documents. The WMS communicates via appropriate interfaces with current programs at Ziaja such as ZERP and GM.

 

For the purpose of storage and sale of pharmaceutical products, the WMS System has the ability to properly manage locks to allow the release to the customer of the products for which no locks are set, exclusively.

 

For the purpose of implementation, the warehouse has been labelled with location labels including bar codes. The pallets with the finished products were labelled with logistic labels in accordance with the GS1 standards.

 

A great benefit of implementing the WMS system is the quick and effective inventory process. In the WMS system, OPTIpromag allows you to perform a physical inventory of stocked goods. The inventory is carried out using multiple terminals which significantly reduces the time needed to complete this process. The result of the process is a document including a physical inventory, surplus and shortages. The inventory is carried out in order mode. This means that on every order, we define the range of indices and locations that we want to inventory.
